How to Set Up Files for Digital Printing: A Step-by-Step Guide

Why File Setup Matters for Digital Printing
At VSL Print, a large portion of the questions we receive from new clients are about file preparation. Incorrectly prepared files are the single most common cause of reprints, delays, and unexpected costs. Digital printing is a fast process — but only when your files are ready to go. This step-by-step guide will walk you through everything you need to know to submit print-ready files.
Step 1: Set Your Document Size Correctly
Start by setting your document to the exact finished trim size of your printed piece. If your brochure is 8.5" x 11" when folded open, set your document to 8.5" x 11". Do not add bleed to your document size at this stage — you will extend content beyond the trim edge, which we'll cover in Step 3.
Common mistake: setting the document to the wrong size and expecting the printer to scale it. Always work at final size.
Step 2: Use the Correct Color Mode — CMYK
Digital printing at VSL Print is a CMYK process. If your document is set to RGB color mode (the default for screen design), colors may shift when converted. Set your document to CMYK from the beginning to ensure what you see in your design software closely matches the printed output.
- In Adobe InDesign: Document Setup > Intent > Print (sets CMYK by default)
- In Adobe Illustrator: File > Document Color Mode > CMYK Color
- In Adobe Photoshop: Image > Mode > CMYK Color
Step 3: Add Bleed (Minimum 0.125")
If any element of your design — a background color, image, or design element — extends to the edge of the finished piece, you must add bleed. Bleed means extending those elements at least 0.125" (1/8 inch) beyond the trim edge. This accounts for minor variation in the cutting process and ensures no white edges appear on your finished piece.
Set bleed in your export/PDF settings, not in the document size itself. In InDesign, you set bleed in the Marks and Bleed tab when exporting to PDF.
Step 4: Keep Critical Content Within Safe Margins
Just as you extend background elements to the bleed edge, you should keep all critical content (text, logos, key design elements) at least 0.125"–0.25" inside the trim edge. This safety margin ensures nothing important gets trimmed off. A 0.25" safety margin is a conservative and recommended standard.
Step 5: Use High-Resolution Images (300 PPI Minimum)
All photographs and raster images should be at least 300 PPI (pixels per inch) at the final print size. Images pulled from websites are typically 72–96 PPI — these will print blurry and pixelated. Always use original high-resolution image files for print work.
Step 6: Embed or Outline All Fonts
Missing fonts are a common prepress problem. When exporting your PDF:
- Ensure all fonts are embedded in the PDF export settings.
- Alternatively, outline all text (convert to paths/curves) before exporting. This eliminates font dependency entirely.
Step 7: Export as PDF/X-1a or PDF/X-4
Export your final file as a PDF/X-1a or PDF/X-4 — these are print-industry standard PDF formats that ensure all fonts are embedded, colors are properly defined, and transparency is properly flattened (for X-1a). Most design applications offer these as export presets.
Step 8: Preflight Your File Before Sending
Run a preflight check on your PDF before submitting. Adobe Acrobat Pro includes a preflight panel that checks for common issues including low-resolution images, missing fonts, RGB colors, and missing bleed. Step 9: Build Rich Blacks Correctly
A large solid black area built from 100% K alone can look thin or slightly gray on a digital press. For deep, even blacks in big fields and large headlines, use a rich black build such as 60C 40M 40Y 100K. Important counterpoint: do not apply rich black to small body text or fine lines. Layering multiple inks under small type invites registration fringing — faint colored edges — so keep small text and hairlines at 100% K only. The rule of thumb is simple: rich black for big solids, single-channel black for fine elements.
Step 10: Mind Total Ink Coverage
Every spot on the sheet has a total ink coverage value — the sum of its C, M, Y, and K percentages. Pile too much ink into one area and you risk slow drying, set-off (ink transferring to the back of the next sheet), and muddy shadows. For most coated digital and offset work, keeping total ink coverage at or below roughly 300% is a safe target. If you have built shadows or rich blacks that exceed this, ease back the supporting colors. Your printer's profile will usually handle this automatically during conversion, but it is worth checking on image-heavy designs.
Step 11: Name and Package Your Files Clearly
- Use descriptive file names that include the project and version — "Acme_Brochure_v3_PRINT.pdf" beats "final_final.pdf".
- If submitting native files, package the layout so all linked images and fonts travel together.
- Include a note specifying quantity, finished size, stock, and any special finishing so nothing is assumed.
Common Mistakes That Cause Reprints
The same handful of errors account for most prepress trouble: RGB images that shift on conversion, missing or low-resolution images pulled from the web, no bleed on full-bleed designs, critical text crowded against the trim, and unembedded fonts. Catching these before submission — ideally with a preflight pass — is the single best way to protect your timeline and budget.
A subtler issue worth checking is transparency and flattening. Drop shadows, glows, and blend modes can interact unpredictably if they are not handled correctly on export. Choosing the right PDF/X preset — X-1a flattens transparency, X-4 preserves it for compatible workflows — keeps these effects looking the way you designed them. When in doubt, export a copy, open it in Acrobat, and inspect the areas with transparency at 100% zoom before you send the file. Two minutes of review here routinely prevents a costly reprint.
Frequently Asked Questions
What if my logo is only available as a small JPEG? Request a vector version (AI, EPS, or vector PDF) from whoever created it. Vector logos scale cleanly to any size; a small JPEG will pixelate.
Do I need crop marks? For most digital jobs the printer can add them, but including crop marks and a 0.125" bleed in your export is good practice and removes ambiguity.
