How to Prepare Files for Offset Printing: Essential Guidelines

A poorly prepared file is the most common cause of print delays, unexpected costs, and disappointing results. Follow these guidelines to get your offset printing jobs right the first time.

File Preparation: The Foundation of a Good Print Job

Every print problem that happens on press can be traced back to one of two causes: a press or operator issue, or a file problem. In our experience, file problems account for the majority of reprints, delays, and client disappointments. The good news: virtually all file problems are preventable with the right preparation workflow.

This guide covers every critical aspect of file preparation for offset printing. Apply these guidelines consistently and you'll rarely hear from prepress with a problem flag on your jobs.

Document Setup

Bleed

Bleed is perhaps the most consistently misunderstood aspect of print file preparation. Any design element that extends to the edge of the finished trimmed piece must be extended beyond the trim edge. The standard bleed for offset printing is 0.125" (1/8 inch, approximately 3mm) on all sides that will be trimmed.

Why? Because paper doesn't cut in exactly the same place every time. If your background color ends exactly at the trim line, any slight variation in cutting position will leave a white edge. Set up bleed in your document setup, not by manually stretching elements later.

Safe Zone (Live Area)

The safe zone is an inset margin (typically 0.125"–0.25") from the trim edge where you should not place important content: text, logos, and critical image elements. Anything inside the safe zone is guaranteed to remain on the finished piece after trimming.

Document Dimensions

Set your document to the final trimmed dimensions of the piece, then add bleed on top. Don't set up the document at bleed size and try to adjust afterward — this creates confusion and errors.

Color

CMYK Color Mode

All files for offset printing should be set to CMYK color mode, not RGB. Convert images to CMYK in Photoshop using Image > Mode > CMYK Color before placing them in your layout. This gives you control over the conversion rather than leaving it to an automated RIP.

Black Settings

  • Black text and line art: Set to 100% K only (C:0 M:0 Y:0 K:100) — ensures text prints through a single ink station for crisp, sharp results.
  • Rich black for large areas: Use a rich black mix for solid black backgrounds (common formula: C:60 M:40 Y:40 K:100). Never use rich black on text — it causes blurring at small sizes.
  • Overprint settings: Black should be set to overprint to prevent white holes under black objects when plates shift slightly.

Pantone / Spot Colors

If your job includes Pantone spot colors: name them by exact Pantone reference (e.g., "Pantone 286 C"), be consistent throughout the file, confirm with your printer how many spot color stations their press can accommodate, and ensure spot colors are preserved (not converted to CMYK) in your PDF export settings.

Images

Resolution

Images for offset printing must be at 300 dpi at the final print size. Common mistakes include placing 72 dpi screen-resolution images and scaling up a 300 dpi image in the layout (a 300 dpi image placed at 200% scale is effectively 150 dpi — below acceptable quality). Check effective resolution in InDesign's Links panel.

Color Mode and Profile

Images should be in CMYK mode with an embedded ICC profile. The most common print-appropriate profiles are US Web Coated (SWOP) v2 for web offset, or GRACoL 2006 Coated1v2 for sheetfed offset on coated stocks.

Linked vs. Embedded Images

Either package the InDesign file with all links included (File > Package) and supply the entire package folder, or export to a PDF with high-quality settings that embeds all images. Never send a layout file without verifying that all links are resolved.

Typography and Fonts

Font Embedding

When exporting to PDF, ensure all fonts are embedded. This guarantees your text prints in the correct typeface even if the printer doesn't have that font installed.

Minimum Type Sizes

  • Serif fonts: minimum 6 pt for body text
  • Sans serif fonts: can be legible down to 5–6 pt
  • Reversed (white on dark) type: increase minimum size by 1–2 pt, as ink spread can close up counters in small type

The PDF Export

For most offset jobs, deliver a PDF rather than native application files. Recommended settings:

  • Standard: PDF/X-1a (most compatible) or PDF/X-4 (supports transparency)
  • Marks and bleeds: Include bleed (0.125") and crop marks
  • Compression: Zip lossless for images; never use low-quality JPEG compression for offset print PDFs

Understanding Total Ink Coverage (TAC)

One spec that quietly causes drying problems and setoff is total area coverage — the sum of the C, M, Y, and K percentages in the darkest area of your file. While 400% is the theoretical maximum, packing all four inks at full density onto a sheet leaves more wet ink than the paper can absorb or dry cleanly. Most sheetfed coated work targets a TAC ceiling around 300–320%; uncoated and web work is often lower still. This is why a "rich black" should be built as something like C:60 M:40 Y:40 K:100 (240%) rather than 100% of every channel. If your file contains very dark photographic shadows, the prepress team may apply a profile that pulls TAC into a safe range — but building it correctly up front avoids surprises.

Trapping and Overprint: The Details That Prevent White Gaps

When two different ink colors meet at an edge, the slightest registration shift on press can open a thin white sliver between them. Trapping solves this by very slightly overlapping adjacent colors so a shift is hidden. Overprinting black text on a colored background — rather than knocking out the area beneath it — prevents white halos around type if the black plate shifts. Modern RIPs handle much of this automatically, but designers should at minimum set black text and fine black line work to overprint, and avoid disabling overprint settings without understanding the consequence. These are small file decisions with an outsized effect on how clean the printed edges look.

Frequently Asked Questions

What bleed should I use for offset? 0.125" (about 3mm) on every edge that trims, with important content kept inside a safe margin of similar size.

PDF/X-1a or PDF/X-4 — which should I send? PDF/X-1a is the most universally compatible (CMYK, flattened, fonts embedded). PDF/X-4 supports live transparency and works well with modern RIPs. When unsure, ask your printer's preference.

My image looks fine on screen but prints blurry — why? Screen resolution is far lower than print. An image that fills your monitor may be well under 300 dpi at final print size. Always check effective resolution at the placed size, not the original pixel dimensions alone.

A Final Preflight Checklist Before You Send

Running through a consistent list before delivery catches the overwhelming majority of file problems. Confirm that the document is built to trimmed size with 0.125" bleed on every edge and critical content inside the safe margin. Verify the color mode is CMYK and that any spot colors are named to their exact Pantone references and preserved, not converted. Check that every placed image is at least 300 dpi at its final placed size, in CMYK with an appropriate profile, and either embedded or packaged with the file. Make sure black text is 100% K, set to overprint, and that fonts are embedded or outlined. Finally, export to PDF/X with marks, bleed, and lossless image compression. A file that passes this checklist will sail through prepress without a problem flag.

When to Call Prepress Instead of Guessing

Some situations are worth a quick conversation rather than a best guess: unusual finished sizes or die-cut shapes, jobs mixing spot colors with process, designs with heavy ink coverage in shadow areas, transparency and special effects that may flatten unpredictably, and any first-time job on an unfamiliar stock. A two-minute question before files are built is far cheaper than a reprint after plates are made. Treat prepress as a resource during design, not just a gate at the end — the earlier an issue surfaces, the cheaper and easier it is to resolve.
